Sharing Files and Collaborating in OneDrive for Business

You can share files from within any and all Office apps (i.e. Excel, PowerPoint, Word, etc.). You can do so by clicking on the ‘Share’ icon. It looks like an arrow. You could also get to the ‘Share’ option by clicking on ‘File’ and then selecting ‘Share’ from the options listed. Files need to be uploaded to OneDrive in order to be shared.

The way that you would select who to share the selected file with is to select someone from the drop-down menu that should appear once you click on ‘Share’. If the person you want to share a file with is not listed on that drop-down menu, you could still share the file by entering a name directly or entering an email address.

You also have the option of adding a message to let the person you’re sharing the file with know what kind of file you’re sharing and/or why.

You can then click ‘Send’ and the file will be on its way.

Another way to Share

You can also share files directly from OneDrive by right-clicking on the file you want to share in OneDrive, clicking on the ‘Share’ icon or the ‘Share’ option, selecting the person you want to share the file with, and then selecting ‘Send’.

It’s the same process you would use when sharing the files with the Office apps.

Stop Sharing

If you no longer wish to share a certain file with someone, you would select the file or folder you want to stop sharing. You would then select ‘Information’ and then ‘Details’ and from there, you would select ‘Manage Access’.

Once ‘Manage Access’ is selected, you would be able to see an ‘X’ next to the link you want to disable. You would click that ‘X’. You would then be able to select the option ‘Can Edit’ and then the option to ‘Stop Sharing’. The file would then no longer be shared.

You can also change who sees the file by going through those same steps except selecting ‘Change To’ instead of ‘Stop Sharing’. You would then be able to change who saw what files.

You would have to be the file owner or have permission to edit in order to stop sharing files or change who is seeing them.

Copy Files

To copy files in OneDrive, select a file and then click on the icon that looks like two chain links linked together. This is the ‘Copy Link’ icon. The link will be copied once you click on the icon.

You can also copy a link by right-clicking on a certain file and then simply choosing the option ‘Copy Link’ to copy said file.
